
Job Vacancy – Operations / Service Manager
Salary: £28-30k per annum; 35 hours per week with some flexibility on working hours

Help Counselling is a charity established over 50 years ago that provides low-cost, long-term talking therapies to adults over 18 who need support with their mental health.
Demand for counselling continues to increase and we need someone passionate and motivated to join our small team to help us manage our growing operation of over 70 counsellors.
- The role
The role holder will be required to carry out a wide variety of tasks to help manage the Help Counselling Operation.
These include:
• Daily management of client email enquiries.
• Speaking with clients and counsellors on the telephone.
• Managing new client referrals and organising assessment booking between clients and assessors. Chasing
booking invites, paperwork and payments. Following-up with assessors where required.
• Facilitating booking of client appointments with counsellors for assessments and counselling appointments.
• Daily processing of financial transactions, debt management, accounts payable and responding to payment
queries.
• Organising and managing room bookings for counselling sessions using third party premises.
• Dealing with operational issues and escalations.
• Performing regular audits to ensure integrity of records and other information needed to ensure continued
governance of the charity.
• Managing other administrative aspects of charity operation such as insurance and membership renewals.
Is this you?
You must be highly organised and able to work at pace. You must also be able to manage your time effectively and cope with sustained periods of high pressure. You will be expected to talk to clients and counsellors on the phone about their appointments and therefore you
must have a confident telephone manner with excellent communication skills with a high degree of empathy.
Although accounting experience is not essential, you must be able to demonstrate strong numeracy skills and understanding of how basic accounting works.
You must be able to work on your own initiative as well as being a team player.
The role requires high attention to detail, and you must also be fully computer literate and highly competent with
Microsoft Office applications, especially Excel and SharePoint online.
We use several other systems for client records, appointments, electronic forms, and payments; full training will be
provided and the ability to pick up new systems and processes quickly is essential.
Education & Skills: Ideally you will be degree educated or have an equivalent level of work experience.
